Why paperwork stops trucks

The core documents
- LR or consignment note with clear consignor, consignee, goods and weight
- Invoice or delivery challan from the consignor
- E-way bill, where the value or nature of goods requires one
- Vehicle documents: registration, fitness, permit, insurance, pollution certificate
- Driver documents: licence and identity
Who generates what
The consignor usually raises the invoice, and the e-way bill is generated by the party responsible under the rules. Transporters often generate it on the consignor's behalf using the details provided. Agree clearly who does it for each customer.
A pre-dispatch checklist
- Do the vehicle number on the e-way bill and the vehicle on the road match?
- Do the invoice value, goods description and quantity match the LR?
- Is the e-way bill validity enough for the distance and likely delays?
- Are copies available on the driver's phone and on paper?
- Are vehicle and driver documents current?
Mistakes to avoid
- Changing the vehicle without updating the e-way bill
- Entering wrong distance or pin codes
- Letting a bill expire in a long delay without extending it
- Different goods descriptions across invoice, LR and bill
