bolt Key Architectural Takeaways & Executive Summary

  • check_circle Count at both the sending and receiving end
  • check_circle Record shortages and damage the same day

The branch handover problem

A consignment may leave one branch on a truck, sit in a godown, and be loaded again for delivery. Each handover is a chance for a package to go missing or a record to go out of date.

What a challan does

A challan lists the consignments loaded on a particular vehicle for a particular movement. It is the link between individual LRs and the physical truck.

Principles for clean handovers

  • Every movement has a document. No goods leave or arrive without a challan or entry.
  • Count on both ends. The sending branch records what left, and the receiving branch records what arrived.
  • Differences are recorded, not ignored. Shortages and damage are noted at receiving, with a photo where possible.

A basic flow

  1. Load goods against LRs and prepare the challan
  2. Dispatch with the vehicle and driver details recorded
  3. Receiving branch checks quantities against the challan
  4. Differences are noted and escalated the same day
  5. Goods are then marked as received and ready for delivery

Handle undelivered goods

Keep a list of consignments waiting at each branch, with age. Old items need follow-up, such as contacting the consignee or arranging redelivery.

Reports worth reviewing weekly

  • In-transit between branches, with age
  • Pending delivery at each branch
  • Shortage and damage claims by route

Why it matters

Clear records reduce claims, speed up customer answers and make it easy to see which branch or route has recurring problems.

Technical Questions & Insights

What is the difference between an LR and a challan? expand_more
An LR covers one consignment for a customer. A challan lists the consignments loaded on a vehicle for a movement.
How do I reduce disputes about damage? expand_more
Record condition at loading and at receiving, ideally with photos, so responsibility can be traced to a stage.
