Vehicle Maintenance Tracking: Moving from Memory to a Schedule
Breakdowns cost far more than servicing. A basic preventive maintenance system that a small fleet can start with this week.
- check_circle Keep one record per vehicle covering repairs, tyres and documents
- check_circle Trigger services by odometer or time, whichever comes first
- check_circle Track tyres individually since they are a major recurring cost
- check_circle Review overdue and upcoming items once a month
The hidden cost of remembering
Many owners know their vehicles well and remember what was last repaired. That works until you have more than a few trucks, or someone else takes over. Missed services become breakdowns on the highway.
Start with a vehicle record
For each vehicle, keep a single record of registration, purchase date, current odometer, tyre positions and history of repairs.
Define simple service triggers
Use odometer readings or time, whichever comes first. Your mechanic or the manufacturer's guidance will suggest the intervals, so start from there and adjust as you learn.
- Engine oil and filters
- Brake checks
- Tyre rotation and replacement
- Battery and electrical checks
- Greasing and general inspection
Track tyres separately
Tyres are one of the biggest recurring costs. Record when each tyre was fitted, its position and its readings. That reveals which tyres or routes wear fastest.
Log every repair with cost
Date, vehicle, work done, parts, vendor and amount. After a few months you can compare cost per kilometre across vehicles and see which are becoming expensive to keep.
Document expiries too
Insurance, fitness, permit, pollution certificate and road tax. Set reminders a few weeks before each expiry.
Review monthly
Look at overdue services, upcoming ones and the top repair costs. That ten-minute review prevents most surprises.
