Collections are an operations problem, not just an accounts problem

Many transporters assume late payment means a bad customer. Often the delay starts earlier: a missing proof of delivery, a rate that was never written down, or a deduction nobody explained.

The usual causes

  • No proof of delivery on file. The customer will not pay until they see it, and finding it takes days.
  • Rate disagreements. A verbal rate, a changed route or detention charges that were never confirmed in writing.
  • Short payments. The customer deducts for damage, shortage or penalties, and nobody records why.
  • Advances not adjusted. Money paid at booking or on the road is not matched against the final bill.
  • Billing delays. Invoices raised weeks after delivery get paid weeks later.

Build a simple follow-up rhythm

  1. Raise the bill within a fixed number of days of delivery
  2. Send it with the LR and proof of delivery attached
  3. Follow up on a schedule (for example before the due date, on the due date and a week after)
  4. Record every call and promise date against the party

Track these three numbers

  • Outstanding by customer, split by age (0-30, 31-60, 60+ days)
  • Short payments and deductions, with reasons
  • Advances received but not yet adjusted

What to do with the patterns

After a month of clean records, you will see which customers always deduct, which routes cause disputes and which clerks raise late bills. That tells you where to fix the process, or renegotiate terms.
